Items to Throw Away Before Moving an Office

Every box you do not move is time and money saved. Here is what most offices can safely let go of before relocation day.

Whether you run a one-person business out of a spare bedroom or manage a full floor of desks, the rule is the same: you do not have to bring everything with you. Clearing out what you no longer need before an office move shrinks the job, speeds up packing, and usually lowers the bill.

What Stuff Can I Throw Away Before Moving?

Start by walking the space and taking stock of every asset. Look closely at tables, chairs, desks, cubicle panels, and storage pieces, and note the condition of each.

For anything damaged, ask a simple question: is repair worth the cost? If yes, keep it and fix it. If the item is past saving, there is no reason to pay to move it.

Below are the things offices most often haul to a new location that would be better off left behind.

Six Things to Leave Behind

  1. Step 1

    Old documents

Many accountants suggest keeping key financial and tax records for seven to ten years, but plenty of offices are storing far more than that. Before you pack heavy file boxes, sort through them and shred or recycle what you no longer need. A move is also the perfect excuse to scan the records you do keep so they are searchable and easy to reach.

  2. Step 2

    Desk lamps

Offices collect lamps the way kitchens collect mugs. Most workspaces only need one good light per desk, and fewer still if the new space has decent overhead lighting. Donate working extras to a local nonprofit and throw out the broken ones that are not worth repairing.

  3. Step 3

    Loose paper clips

Put them in the metal recycling if your local program takes them. Otherwise, unless they are still in a sealed box, toss them. Loose clips are easy to lose and have a way of scratching other items in transit.

  4. Step 4

    Old planners and notebooks

The back of the supply closet often hides calendars and planners from years ago. Whether they are blank or full of old notes, they serve no purpose now; a planner is for what is ahead. The same goes for half-used notebooks. Recycle them and start fresh once you are set up in the new office.

  5. Step 5

    File cabinets

With more records going digital, many businesses need far fewer file cabinets than they own. A small two-drawer unit under a desk may still be handy for receipts and bills. The rest can be donated or recycled; metal cabinets often qualify for scrap programs, and scrap buyers may take a large batch off your hands.

  6. Step 6

    Worn-out pens and pencils

There is a good chance that cup of pens is mostly dead ink and dull stubs. Rather than fighting with a pen that quits while you sign a contract, clear them out and buy a fresh supply. Bulk office supplies are inexpensive.

An Alternative to the Landfill

Not everything you are done with belongs in the trash. Usable furniture and equipment can go to a nonprofit, and many charities will arrange a pickup for little or no cost. Selling quality items directly to other businesses is another option, and it can offset part of your moving budget.

If you have good pieces you will not need right away but do not want to part with, consider storage. MPs New York offers secure units where furniture, archives, and equipment can wait until you need them.
